Hardware Sales & Rental
Laptops, headsets, speakers, monitors and meeting room equipment, to buy or to rent. From a party that does not only deliver the box, but configures it, supports it and takes it back at the end.
The box is the easy part
Ordering hardware is not the difficult bit. What follows is: it has to be configured, labelled, registered, delivered to the right person, supported when it breaks and disposed of when it goes. A supplier who only sells leaves all of that with you.
We deliver the equipment and everything around it. And where it makes more sense, we rent it out instead: for a project that runs six months, for an event next month, or for a team that grows faster than your purchasing cycle.
Renting fits temporary capacity, events and peaks. Buying fits what stays. We will say which of the two suits your case, including when that means the smaller order for us.
What we supply
- Laptops and workstations. With docking stations, monitors, keyboards and mice, delivered as one working desk instead of six separate boxes.
- Headsets and audio. Headsets for the service desk and for hybrid meetings, speakers and microphones for rooms.
- Meeting room equipment. Displays, conference audio and the accessories that belong with them, matched to the room they go in.
- Network equipment. Switches, access points and the cabling behind them, in line with what your network already runs.
- Rental for events and projects. Short-term hire, delivered and set up on site and collected again afterwards.
- Brands we partner with. We work with Dell, HP, Yealink, Asus and Cisco among others. Which brand fits follows from your situation, not from a sales target.
Business hardware for SMEs
Smaller businesses usually buy hardware one unit at a time, the moment somebody starts. That looks cheap and rarely is: eight different models means eight different warranties, working out eight times which dock fits, and a spares stock that consists of one cupboard full of cables.
We narrow that to a handful of models that suit the work and that we can keep supplying for years. New colleague, same laptop, same setup, ready the same day. Whether buying beats renting in your case is worked out under buy or rent.
- A few models instead of ten One laptop for office work and one for heavier work covers most organisations, with accessories that fit both.
- Ready on the first working day Configured, enrolled and given the right permissions before the device reaches the desk.
- Renting when numbers fluctuate For temporary staff or a seasonal peak, renting beats a device that sits in a cupboard afterwards.
- Warranty through us If something breaks we handle it with the manufacturer and you keep one point of contact.
Business hardware for enterprise organisations
At hundreds or thousands of devices the question shifts from purchasing to logistics. Not what a device costs, but how you roll out four hundred at once without four hundred people losing a working day, and how you know which device sits where and when it is due for replacement.
So we do not only supply the hardware but the chain around it: preparing, registering, rolling out on site and certified disposal at the end. How that works sits under device deployment and lifecycle.
- Rollout in waves Per department or per site, outside office hours where required, with a way back if a wave disappoints.
- Known which device sits where Registration per serial number and per user, making replacement plannable instead of reactive.
- Rugged where it is rough Different equipment in warehouse, production and transport than in the office, because an office laptop will not survive there.
- Disposal with evidence Certified wiping and disposal with a statement per device, usable towards an auditor.
From requirement to delivery, or to return
The same route whether you buy or rent. Only the end differs.
The requirement
What is it for, how many, how long and where. That is what decides whether buying or renting is the sensible answer.
Quotation
Equipment, delivery time and price on paper, including the rental terms if it is a hire.
Delivery and set-up
Configured, labelled and registered in your asset administration, delivered to the site or straight to a home address.
Support and return
Break-fix during the term, and collection with certified data destruction when the equipment goes back.
The same equipment, whichever way you take it
Buying and renting run through the same chain here. These are the components in both cases.
- Buy or rent from one partyThe same equipment either way, so a rental can become a purchase without changing supplier.
- Delivery times on paperAgreed in advance instead of estimated per order, with buffer stock for what you use most.
- Configured before it arrivesYour image, your settings, your label. Nothing configured at the desk of a waiting colleague.
- Registered in your administrationOwner, location, serial number and warranty status, updated at every handling.
- Break-fix includedA failure during the term is a swap from stock, not a ticket you file with a manufacturer.
- Rental terms in writingTerm, expected condition on return, what counts as damage and what it costs. Before delivery, not after.
- Certified disposalAt the end of the term or the end of the life, data destroyed to standard with a certificate.
- Advice across brandsWe work with several manufacturers, so the recommendation follows from your situation.
Both are fine, the question is how long you need it
There is no principled answer here. It is a question about time and about what you want on your balance sheet, and it is worth two minutes before an order goes out.
- Rent what is temporaryA project of six months, an event, a team that doubles over the summer. You pay for the period rather than for the residual value.
- Buy what staysA workstation someone uses every day for four years is cheaper to own, provided the replacement is planned.
- Rental keeps a peak flexibleTwenty extra laptops for six weeks are not an investment decision, and they do not leave twenty devices behind afterwards.
- We will say which one fitsIncluding when that is the smaller order for us. A rental you did not need is an unhappy client next year.
What we supply from each brand
We work with all of them, but not everything they make ends up in every quotation. This is what we actually deliver per brand, and which of our services it belongs to.
What this connects to
Equipment is one link. These services handle what happens around it.
Questions we get about this
The ones that come up most, answered briefly.
Buy or rent, which is wiser?
That depends mostly on how long you need it. For equipment that lasts three to four years, buying is usually better; with fluctuating numbers or a short period, renting is calmer. The same equipment either way, so the choice is about your situation and not about the product.
Do you supply if our management sits elsewhere?
Yes. We supply, prepare and install even when the management is with another party. What we do not do is drop off a box and leave it there: the equipment is set up as agreed, so your people can work with it on day one.
Which brands do you supply?
Dell, HP, Lenovo, ASUS, Yealink, Poly and Logitech among others, and which one we recommend depends on the user and the room. There is no brand we are tied to, so the advice is about what fits.
What happens to equipment that goes out?
We take it back, wipe it according to the rules and dispose of it with certification. You get the certificate, so you can show the data is gone. That belongs to the lifecycle and not to a separate job afterwards.
How long does delivery take if we need a few hundred devices at once?
That depends on the model and on the manufacturer’s stock, not on us. For mainstream business laptops and desktops an order of this size usually means weeks; for built-to-order configurations, and for servers and network equipment, it can be longer. We quote the lead time the manufacturer gives and tell you the moment it shifts, rather than naming a date that sounds good.
Can you configure the laptops with our software before they arrive?
Yes, and that is usually the reason to order through us rather than from a web shop. Devices arrive carrying your settings, your software and your security policy, and are registered in the management system before they leave. A new joiner opens the box, signs in and works. For larger volumes we ship straight to the user’s address, including when that address is in another country.
What happens when a device breaks?
The manufacturer’s warranty applies, and we handle that process instead of sending you to a service number. For devices under our management we track which serial number sits with whom and when the warranty ends, so a fault does not start with hunting for a purchase receipt. For environments where downtime costs money directly we supply spare devices, already configured.

Our own certifications
ITproposal is certified for ISO 9001 (quality), ISO/IEC 27001 (information security), ISO 14001 (environment) and Kiwa NEN 4400-1 (labour hire and secondment). That says something about how we work and how we have our own processes assessed; it is not a certification you inherit from us.
Not sure whether to buy or rent?
Tell us what you need, how many and for how long. We will put both options side by side with a price, so the choice is a calculation instead of a feeling.
