What Box makes
Box is cloud storage built around the question of who may reach a file and what has happened to it. Every folder has permissions, every action is logged, and retention policy is built in, a file that has to stay for seven years stays seven years and cannot be deleted in the meantime.
Why Box, and where it stops
We choose Box where files are shared with outside parties and an account has to be given afterwards: a law firm, a construction project with ten parties, a research department. The audit log and the retention policy are the product here, not the storage. Where it stops: if everyone already works in Microsoft 365, SharePoint is there and does much of this too, then you buy a second place where files live, and two places means in practice that nobody knows where the latest version is.

What the price depends on
We do not run a webshop, so there is no rate here that would not apply to your situation anyway. What is here is what the amount depends on, so you know what to send along to get one quickly.
- Model and configurationWithin one product line the gap between the entry model and the heaviest variant is large. Tell us what the device has to do and we pick the configuration that fits, rather than the most expensive one that would.
- The quantityOn a larger batch the per-device price comes down. Twenty at once is a different conversation from two, even when everything else is equal.
- What has to be on itA device delivered with your settings, software and security costs more than a box, and saves an installation day per unit. That is a choice, not a surcharge.
- Delivery and installationTo one address or to fifteen sites, with or without on-site placement, with or without taking away what was there. That difference is in the price and it is yours to steer.
- Buying or renting, and for how longThe same equipment can be a purchase or a monthly amount across three or four years. That changes not only the figure but where it lands in the books, and it is the conversation with the most in it.

Anyone can buy a licence. Whether it returns anything depends on the configuration and on who keeps it current.
- The edition that fits, not the dearestWithin one suite there is a wide gap between the entry edition and the heaviest. We look at who actually works with it and for what; putting everyone on the dearest is the most common waste we meet.
- Configuration instead of installationNo device arrives, so the work sits in the set-up: who may do what, where the data sits, what happens when someone leaves. Left on its defaults, software like this does less than half of what you pay for.
- Attached to the user directoryJoining and leaving should be one action and not five. If the software hangs off the directory, access disappears on the day someone goes rather than at the next review.
- Renewal without surprisesWe keep the counts and the end date. A renewal that rolls over quietly on last year’s numbers is a bill nobody looked at.

Yes. We supply and configure, and whether the management stays with us is a separate choice. What we do not do is resell a licence and leave the configuration to you.
